01 – The brief
Twelve days of competition, three months to build it.
The Long Beach edition was a twelve-day event with VIP guests, press, exhibit booths, receptions and a horse village for 400 horses. The planning team needed expert event management, and the calendar left three months. The challenges going in:
- A lead time of just three months
- Water and waste management for hundreds of horses, to city regulations
- Sourcing innovative equipment such as linear LED walls
- Keeping a large, multi-day budget under control
02 – What we did
Get every decision-maker in one room, then move fast.
With three months, the sequence of decisions mattered more than any single decision.
Set the timeline on day one. CTC assembled every key decision-maker to establish the event timeline and make the critical calls early, so that nothing waited on a meeting.
Solve the horse village first. Waste management for 400 horses had to meet city regulations. Equipment was creatively sourced, including advanced water techniques from SpaceX, to minimise waste.
Manage the money through the schedule. Financial management, vendor contracts and crew scheduling were run together, which is how the event came in under budget with crew overtime reduced.
03 – The results
