An empty venue, turned into Fire & Ice, on budget.

For the closing party of the PRSM National Conference, CTC used its Long Beach knowledge to build a Fire and Ice celebration from a blank room: Cirque acts, fire dancers, living statues, ice bars and a headline performance by Vanilla Ice, delivered inside the budget.

Night, built from an empty room

01 – The brief

Make the last night the one they remember.

The goal was a visually stunning, high-energy closing event that would leave a lasting impression on the conference’s delegates. CTC was tasked with turning an empty venue into a fully immersive experience by:

  • Bringing the Fire and Ice theme to life with decor, staging and lighting
  • Coordinating standout entertainment: Cirque performers, fire dancers, living statues, ice bars and a headline performer
  • Planning logistics so that a high-energy evening ran without a visible seam
  • Delivering an extravagant event inside a fixed budget

02 – What we did

Local vendors, one theme, and a budget held to the line.

A blank venue is expensive to fill. The work was in choosing what would carry the theme and negotiating everything else.

Design the room around two temperatures. Ice bars and cool lighting on one side, fire-inspired lighting and performers on the other, with staging that moved guests between them.

Book entertainment that does the decorating. Cirque acts, fire dancers and living statues filled the space with movement, so the decor budget could go where it showed.

Use Long Beach relationships. Venue, vendors, audio visual and food and beverage were sourced locally, which is how the evening stayed inside the budget.

03 – The results
