01 – The brief
Keep a growing conference growing, without losing the margin.
The NICA Annual Conference brings healthcare professionals together around advances in infusion care: keynote speakers, interactive sessions and a substantial exhibit hall. CTC has run it since 2022, and the brief each year has been the same in shape and larger in scale.

02 – What we did
Run the whole event, and put the finance first.
CTC manages the conference end to end: registration, housing and room blocks, sponsorship, the mobile app, signage, audio visual, food and beverage, venue and vendor contracts, and onsite delivery. Financial management runs through all of it. Three things did most of the work.
Budget to projection, then hold it. Every contract was negotiated against the projected budget and expenses were tracked through the year, so profitability was a plan rather than a hope.
Treat exhibitors as attendees. The floor plan, traffic flow and session schedule were designed to move people through the exhibit hall. In 2024 the hall sold out.
Add a game layer. The Viva Vegas Challenge, introduced in 2024, ran across sessions and the exhibit hall and measurably lifted attendee engagement.
Keep changing what attendees notice. In 2026 that meant a check-in flow with no lines, sponsor swag drops at the opening reception that kept people moving around the hall, meter boards and screens in place of easel signage, and a room block that filled.
